Managing email efficiently means not only writing and sending messages, but also keeping track of important responses. Outlook offers a very useful feature for this purpose: the Follow Up.
With this option, you can set a reminder to check a specific email later—or even let the recipient know that the email requires a reply.
In this guide, we'll walk you through how to add a follow-up reminder before sending an email.
🚩 Add a Follow Up before sending an Email
Follow these steps to set a reminder directly while you're composing your message:
- While composing your message, go to the Message tab on the ribbon.
- In the Tags group, select Follow Up.

- From the drop-down menu, choose Add Reminder.

- A dialog box will appear: here you can set a reminder for yourself. If you also want the recipient to receive a follow-up reminder, select the Flag for Recipients box.

- Set the desired date and time for the reminder and click OK.
- Complete your email and click Send.
📌 How the reminder will appear
After you set up a follow-up, Outlook will notify you of the email in different ways depending on your version (desktop, web, or mobile). Here's what to expect:
- In the email list: Sent or received emails will display a flag icon or a status indicator next to the message, visible in the flags column. This allows you to quickly identify flagged messages.
- Popup reminder (desktop): When the set date and time arrives, you'll see a reminder/popup window displaying the email subject, summary text, and the Snooze and Dismiss buttons. In some configurations, the notification may also appear in the operating system's notification area.

Alert Follow Up - Notifications in Outlook Web and Mobile: In Outlook Web (OWA) and the mobile app, the notification can appear as a banner or alert in the app; it typically includes the email subject and allows you to open it directly or postpone the reminder.
- Recipient Behavior: If you selected Flag for recipients, the recipient will also see the flag on the email in their inbox and, depending on their email client, may receive an indication of the due date or associated reminder.
If you no longer wish to be notified, you can unflag or remove the reminder from the email at any time: just open the message (or select it in the list) and deactivate the flag.
💡 Tips Useful
- Follow-up reminders are especially useful for work emails or requests that require a response by a certain deadline.
- If you set a flag just for yourself, Outlook will automatically notify you on the day and time you select.
- If you choose the Flag for Recipients option, the recipient will also see the message that the email requires attention by a certain date.
- You can manage or remove follow-ups from sent or received emails by right-clicking on the flag indicator.
✅ Conclusion
Setting a follow-up option in Outlook is a small gesture that can make a big difference in your daily organization. It helps you stay on top of important communications and Stay on top of pending tasks.
With these simple steps, you can ensure that no email goes unnoticed—by you or the recipient.
